Promotions Office Intern

JOB DESCRIPTION
The UW-Madison School of Medicine and Public Health, Department of Surgery seeks a student to assist the Promotions Office in day-to-day activities. This position will give the student valuable, real-world experience, as well as providing the Promotions Office with additional administrative support. Well suited candidates should have an interest in editing and be reliable, detail-oriented, well-organized, able to prioritize tasks, and able to work independently once familiar with certain tasks.

DUTIES AND RESPONSIBILITIES
  • Format and assist in the creation of complex documents in compliance with SMPH and University policies
  • Edit and format official Departmental correspondence and internal documents
  • Coordinate promotion, track transfer, and appointment schedules with Promotions Coordinator
  • Assist in preparation of Faculty Meetings
  • Assist in preparation of Departmental Internal Review Committee Meetings
  • Maintain updated Department Mentorship Committee files
  • File on a regular basis
  • Perform miscellaneous office duties (answering phones, coordinating meetings, etc.)
  • Assist with miscellaneous special projects as needed
  • Abide by all SMPH and Department of Surgery policies and procedures
  • Other duties as assigned
KNOWLEDGE AND SKILLS REQUIRED
  • Major in English, Journalism or a closely related field preferred.
  • Excellent editing and writing skills required. Must be proficient in Microsoft Office.
  • Prior experience in an office setting is preferred.
  • Ability to maintain confidentiality of sensitive information.
SUPERVISION
Reports directly to the Promotions Coordinator.
SCHEDULING
An ideal student would be available to work a minimum of 10 hours a week, Monday-Friday during normal business hours. Specific scheduling is flexible.
WORK LOCATION
This position will be located at the UW Hospital and Clinics, 600 Highland Avenue, Madison, WI 53792.
