The Event Coordinator provides administrative support for Executive Director and Foundation staff in planning and executing meetings and events. Responsibilities include assisting with all logistics and details for the Foundation’s Annual Fundraising Event and Silent Auction and other events. This is a limited-term paid position, available mid-December–April, offering an average of approximately 15-18 hours per week for about 18 weeks. The student must be available the entire day on April 12, 2013 (this is Friday, the day of our event, from approximately 10 a.m. until approximately 10 p.m.) This position pays $10/hour.
 
ESSENTIAL FUNCTIONS 
1.      Support goals and objectives of events
2.      Apply meeting industry business practices to activities
3.      Participate in coordinating key event activities including:
·          Facility and catering function sheets and contracts
·          Event print materials, guest lists, table assignments, and nametags
·          Speaker logistics
·          Audiovisual requirements
·          Food and beverage requirements
·          Décor of dinner, pre-reception, registration and silent auction for a consistent look
4.      Assist in working with vendors, facility and internal staff to coordinate logistics
5.      Assist in coordinating event volunteers
6.      Coordinate silent auction donation requests and track donations received
7.      Participate in the pre-event meetings and post-event evaluation and follow-up activities
 
EDUCATION
Post-secondary course work in meetings management or related subject matter. High school diploma or equivalent required.
 
EXPERIENCE AND SKILLS
1.      Professional verbal and written communication skills and telephone manner.
2.       Attention to detail
3.      Proficiency with Word and Excel required. PowerPoint experience preferred.
4.       Prior work experience in an office environment and/or event experience preferred.
5.       Ability to work compatibly and interact professionally with colleagues, physicians, vendor staff
6.      Effective time management skills for handling multiple priorities.
